What this repository is

Two things:

  1. Open reference material for anyone who works submittals, free to use and share under CC BY 4.0. No sign-up, no email wall.
  2. A description of SubPro, the commercial product these references came out of.

The product itself is closed source. The reference material is not, because the hard part of submittals was never the secret sauce. It was the reading.

An Excel version of the checklist is at sub-pro-ai.com/spec-to-submittal-checklist, and a formatted submittal log template is at sub-pro-ai.com/submittal-log-template. Both are ungated.

What SubPro does

From a project's spec book, SubPro:

  • Drafts the submittal log. One row per required submittal, grouped by CSI division, with the specified manufacturers and products on every row.
  • Cites the source page. Every row links back to the page it came from. Click it and the built-in viewer jumps there with the cited text highlighted.
  • Assembles the submittal packages. Transmittal cover rendered on your own company form, with the manufacturer cut sheets merged into one PDF.
  • Emails and tracks the response. Send from the app, then follow each submittal through approved, approved as noted, revise and resubmit, or rejected.
  • Builds a front-loaded schedule. Each row gets its own submit-by date in construction order, with procurement drop-dead warnings.
  • Diffs addenda book against book. Unchanged sections carry their rows over verbatim, so a revision does not churn work you already reviewed.
  • Answers questions about the book. Plain-language chat scoped to the spec book or the log, with citations that jump to the page or the row.

Exports Excel and CSV that import into the platform your project already runs on.

What SubPro does not do

Worth stating plainly, because this category oversells constantly:

  • It does not replace your system of record. Keep the project platform you already run. SubPro hands off to it.
  • It does not claim a complete or perfect read of a project manual. Every row is meant to be reviewed, and the app flags what it is unsure of rather than hiding it.
  • It is not autonomous. SubPro drafts. People decide.

How it is delivered

Windows desktop application with cloud processing. The spec book PDF stays on your own machine; cloud processing is process-and-release.

Who it is for

Submittal coordinators, project engineers, and project managers at specialty subcontractors and small-to-mid general contractors. The trades that live in PART 2: mechanical, electrical, fire protection, glazing, doors and hardware.

Reference material in reference/ and the page in docs/ are licensed CC BY 4.0. Use them, adapt them, put them in your own company handbook. Attribution back to sub-pro-ai.com is all that is asked.

The SubPro name, logo, and product are not covered by that license.
